The short answer

CalStack and HubSpot Meetings both book meetings from a link or an embed on your website. HubSpot Meetings is part of HubSpot's CRM, so every booking lands on a contact record, and team pages need a paid seat for each host. CalStack works without a CRM: it asks your qualifying questions before the calendar, preps each call with AI inside Google Meet, and costs one flat price for up to 15 seats.

Choose CalStack if

  • You don't use HubSpot, or you don't want to pay for a CRM seat per host.
  • Leads should answer your questions before they see your calendar.
  • Your team runs its calls in Google Meet and wants prep and notes beside the call.
  • You want leads routed to a host, a message or a page based on their answers.

Choose HubSpot Meetings if

  • Your sales already live in HubSpot and every meeting should land on a contact.
  • Your team uses Office 365 calendars, Zoom or Microsoft Teams.
  • Your booking page has to be in a language other than English.
  • You want reminders sent before the call.

Where CalStack is different

A widget that gives visitors a reason to book

The floating widget rotates short messages you write, so visitors see why to book before they click.

Questions come before the calendar

Every booking page starts with your qualifying questions, on the Free plan too. CalStack can draft them from a short description of who you want to meet.

Prep and notes inside Google Meet

A side panel in Google Meet shows the lead's answers and your AI talking points. Tag the outcome and take notes without leaving the call.

One price for the whole team

The Team plan covers up to 15 seats for one monthly price, so adding a teammate doesn't change the bill.

When to choose HubSpot Meetings instead

  • Meetings inside your CRM. Every booking lands on a HubSpot contact, next to the deals, emails and tasks your team already uses.
  • More calendars and video tools. HubSpot Meetings connects Google and Office 365 calendars and adds Google Meet, Zoom or Microsoft Teams links. CalStack works with Google Calendar and Google Meet only.
  • Reminders and payments. Pages can send up to three reminder emails before the call, and can collect payment through HubSpot Payments or Stripe. CalStack does neither yet.
  • Booking pages in other languages. Each scheduling page has a language setting. CalStack's booking pages are in English.

Switching from HubSpot Meetings

  1. Connect Google Calendar

Each host connects their own Google Calendar. CalStack checks it for conflicts and adds a Meet link to every booking.

  2. Move your questions first

Add your scheduling page's custom questions to a booking page, where leads answer them before they pick a time.

  3. Keep HubSpot in the loop

Send each booking, with the lead's answers, to HubSpot through Zapier, n8n or a webhook, and add the widget to your site.

Questions and answers

Is CalStack a good HubSpot Meetings alternative?
Yes, if you don't run your sales in HubSpot, or you want leads to answer questions before they book and prep inside Google Meet. If every meeting should land on a HubSpot contact, HubSpot Meetings fits better.
Is CalStack cheaper than HubSpot Meetings?
For a team, usually. HubSpot's team scheduling pages need Sales Hub or Service Hub Starter, which HubSpot's catalog lists at $20 a seat a month, so 10 hosts cost $200 a month. CalStack's Team plan is $59 a month, or $47 billed yearly, for up to 15 seats. Both have a free plan for one person.
Does CalStack work with HubSpot?
Not directly. CalStack sends each booking, with the lead's answers, to Zapier, n8n or a webhook, which can create or update the HubSpot contact.
Does CalStack work with Outlook or Zoom?
Not yet. CalStack works with Google Calendar and Google Meet only. HubSpot Meetings supports Office 365 calendars, and Zoom and Microsoft Teams links.
Do I need a paid plan for round-robin?
On both, yes. CalStack's round-robin is on the Team plan, which covers up to 15 seats. HubSpot's round-robin pages need a Starter subscription and a paid seat for each host.
